The Psychiatry Fellowship and Administrative Coordinator will serve two primary functions as a core part of the Education Office team: assist with the coordination of departmental education activities and programs and serve as the Program Administrator for the Addiction Medicine Fellowship program. This position reports to the Associate Education Manger in the Department of Psychiatry, and works closely with the Program Administrators, and the Undergraduate Medical Education Coordinator. This is a hybrid position, with a minimum of 1 day on site per week. Job Duties/Responsibilities: 50% Addiction Medicine Fellowship Coordinator Trainee Progression and Certification Management: *Monitor and maintain detailed knowledge of the American Board of Psychiatry and Neurology physician training requirements. Oversee process to track fellow's progress towards requirements, report out as appropriate and ensure documentation of completion of requirements is prepared upon graduation. Formulate and recommend program level solutions in response to policy and requirement changes. *Under the guidance of the Program Director, consult with medical fellows and program faculty and review governing requirements to create individualized short and long-term trainee learning plans. Analyze multiple information sources such as trainee career goals, multi-site rotation offerings, program and accrediting body requirements and financial government funding parameters to support recommendations to program leadership. *Design and recommend event and educational training offerings. *Analyze program requirements, develop and recommend strategy/plan, manage, facilitate, and delegate activities to ensure successful execution to meet changing needs of the program, accrediting bodies, affiliates, and medical school. *Plan and execute on program orientation curriculum and other standard GME events such as graduation, retreats and exams. Program Accreditation Management: Work with the Program Director to manage high-stakes accreditation self-study submissions and site visits. Recommend enhancements to drive accreditation preparedness with an understanding of organization al impact on the program and their specific process and requirements. Propose and implement initiatives to address areas for improvement and citations. *Ensure residents and faculty are prepared to respond to the Accreditation Council for Graduate Medical Education (ACGME) annual surveys. Work with the program director, faculty leaders and trainees to develop and execute on plans to address survey findings. *Manage evaluation system of fellows, faculty and rotations used by the Clinical Competency Committee (CCC). In collaboration with the CCC Chair and Program Director, amend evaluations to reflect changes in the ACGME requirements. Develop and execute an approach to submit milestone reports to the ACGME. *Work with the Program Director to oversee the Program Evaluation Committee (PEC). Develop action plans for the program to meet goals set during the annual program evaluation. *Plan, coordinate and manage program components through the Residency Management Suite (RMS), including personnel data and portfolios. Manage trainee duty-hour reporting and RMS rotation schedules and assignments, which directly impact Medicare reimbursement. Recruitment Strategy/Planning: *Work closely with the Program Director to develop program admissions parameters focused on inclusive excellence. Review and select the initial list of strongest candidates, analyze faculty assessments to develop ranking of candidates. Orga ize and actively participate in the final selection committee process. *Working closely with the clinic administration team to schedule department faculty for interviews. *Organize and run all recruitment interview days. *Ensure compliance with the National Residency Matching Program (NRMP) Policies and Procedures. Leverage the Electronic Residency Application System (ERAS) to streamline the applicant screening process. *Conduct recruitment cycle analysis to continually increase competitiveness of the program and identify areas for improvement. Market program to increase match success. *Manage the NRMP Supplemental Offer and Acceptance (SOAP) process for the program as needed. 50% Psychiatry Education Coordinator *Flexibly prioritize and triage requests for the Education Office and effectively coordinate responses to ensure timely and accurate information is disseminated both internally and externally. *Use problem-solving skills to conceptualize, recommend, and implement administrative and communications processes to improve and support the Education Office's work. *Develop and implement organizational systems for information and data requests, expenses and spending and program data keeping. *Maintain the Education Office team's calendar of education events and communicate event details to appropriate individuals. *Partner with stakeholders to organize and prepare workshops, conferences, and education events. At times, support for these events will be needed outside of normal business hours, however ample notification will be provided in these instances. *Manage all purchasing and ChromeRiver processes for the Education Office programs *Collaborate with the Education Office team on special projects and ad hoc tasks to improve the learning experience of our trainees. *Provide general administrative support including, but not limited to, scheduling/calendaring, taking meeting minutes, coordinating travel arrangements, and drafting correspondence. *Lead miscellaneous special projects for the Education team. *Compose, edit, and distribute communications on behalf of the Education team. Qualifications All required qualifications must be documented on application materials Required Qualifications: - BA/BS or a combination of related education and work experience equal to four years. *Four years of related work experience; training/education may be substituted for some of the years of experience *Strong ability to utilize Google apps, especially Drive, Gmail, and Calendar, for organizational and shared project purposes *Comfortable scheduling and running Zoom meetings *Ability to multitask and prioritize effectively to meet deadlines *Interpersonal skills, including the ability to communicate in an effective, professional manner (both written and verbal) *Proven attention to detail *Ability to work comfortably in a dynamic, growth-oriented team Preferred Qualifications: *Experience working in a healthcare or academic setting *Enthusiastic and knowledgeable about technology and leveraging it as a tool for organization and program improvement *Training in and knowledge of University of Minnesota systems, policies and...
