Center for Human Services Youth Resource Specialist in Modesto, California

Center for Human Services (CHS) is seeking a dynamic and caring person to join our Youth Navigation Center team as Resource Specialist servingyouth experiencing homelessness in Stanislaus County. This is a fulltime opportunity working primarily M-F daytime in the office.

POSITION SUMMARY: Responsible for providing a wide range of complex office duties, client and program support to assist the Youth Navigation Center operations.

QUALIFICATIONS:

  1. Three years of administrative experience and client facing functions.
  2. Advanced proficiency in multiple technical software applications including Microsoft Office Suite, Adobe Acrobat Pro or other document creation/manipulation software, presentation and graphics programs, calendaring tools and online meeting platforms.
  3. Advanced knowledge of mail merge techniques using existing data, formatting data, or importing external information into datasets as needed.
  4. Ability to perform data entry with a high degree of accuracy; compile, analyze and interpret data.
  5. Advancedknowledge of operating and troubleshooting standard office equipment such as copiers, printers, faxes, laminators, postage machines, etc. Experience using a postage machine and knowledge of mail processing and shipping fulfillment is a plus.
  6. Excellent interpersonal, verbal and written communication skills.
  7. Strong analytical and organizational skills, with an ability to manage multiple projects with competing deadlines.
  8. Proactive thinking and problem-solving skills. Ability to anticipate Agency needs, use good judgment and take initiative to respond appropriately.
  9. Move equipment/items weighing up to 25lbs.andwalkthroughout the building to access items.
  10. Pass agency paid criminal justice screening including fingerprints.
  11. Pass agency paid TB (Tuberculosis) screening.
  12. Pass agency paid health screening and/or drug testing, if required.
  13. Valid California drivers license and proof of auto insurance coverage.
  14. Pass agency paid MVR clearance with no more than 2 points - if you are under the age of 25 our insurance company will not allow any points.

  9. Communicate effectively both orally and in writing.
  10. Perform job duties in a safe manner to ensure a safe working environment for oneself and others.
  11. Participates in and/or supports Agency fund development activities and events.
  12. Preparation of assigned reports, work records, statistical data, job performance evaluations, work plans, etc. in a timely manner.

DUTIES:

Duties include, but are not limited to the following core areas. Contribute to a team effort by performing other duties and completing special projects as assigned.

Reception

  1. Conduct opening/closing procedures and adhere to all agency policies enforcing safety and security; maintain restricted areas secure by safeguarding keyless entry codes and computer system passwords in strict confidentiality.
  2. Connect clients/staff/guests to the department and/or appropriate personnel in a manner that is helpful, courteous and friendly; determines purpose of visit and directs accordingly.
  3. Distribute forms and paperwork to applicants and ensure required fields are completed accordingly.
  4. Provide information to callers according to front reception procedures; transfer calls as needed and ensure adequate phone coverage at all times.
  5. Perform day-to-day administrative functions and general office duties including, but not limited to: setting appointments/scheduling, word processing, filing, scanning, answering multiple phone lines, data entry and room scheduling.
  6. Provide excellent customer service; practice confidentiality and privacy procedures in accordance to agency policies and HIPAA requirements.
  7. Exercise problem solving and conflict resolution skills when handling client complaints; refer client complaints to designated personnel, as required.
  8. Maintain waiting area, office files and front reception areas in a manner that is organized, neat and professional.
  9. Coordinate space for a variety of internal meetings/trainings, as requested.
  10. Sign for incoming deliveries and distribute accordingly.
  11. Maintain system for tracking employees to ensure sign-in/sign-out procedures and in support of the safety protocol.

Administrative

  1. Assist with administrative duties as assigned by program.
  2. Prepare reports and listings as directed by program.
  3. Maintain program participant and staff data in established systems as required by program.
  4. Ensure office supplies and other office needs are ordered, stocked and maintained.
  5. Maintain copies of the intake/discharge/parent packets/program handbooks and ensure availability, as needed.
  6. Process mail/fax and distribute accordingly, copy requests, light janitorial duties, etc.
  7. Manage office supply room.
  8. Train and provide oversight to volunteers, as needed.
  9. Perform data entry into various databases with a high degree of accuracy.

Direct Care Support

  1. Provide support in the in-take process, as needed.
  2. Provide support and/or assistance to staff if/when-needed in crisis, following safety protocols.
  3. Monitor client interactions and help facilitate appropriate behavior and boundaries.
  4. Provide limits and structure to clients in accordance with program and agency policies.
  5. Regularly update and maintain an accurate list of referral resources for staff and clients.
  6. Contribute to and ensure that activities, services through YNC are conducted in a manner that is sensitive to and shows respect for the cultural and ethnic diverse.
