Vanderbilt University Program Coordinator, Department of Hearing and Speech Sciences in Nashville, Tennessee
The Program Coordinator position is an essential part of the Vanderbilt University School of Medicine (VUSM) Department of Hearing and Speech Sciences (DHSS) professional and graduate degree programs team. This position is part of the larger VUSM Office of Health Sciences Education team and is a key contributor to the success of all DHSS degree programs as the front office greeter/facilitator and as the academic support coordinator working with the Vice Chair of Graduate Studies, the Director of Clinical Education, and the DHSS Program Manager. This position regularly interacts with DHSS faculty members and students to create positive teaching and learning experiences. Also, the Program Coordinator supports meetings and events like new student orientation and graduation.
This is a full-time on-site position (not remote). A successful candidate has the ability to arrive each day (Monday-Friday) no later than 7:30 am to unlock classroom and office doors. This is a critical component of this position.
The Office of Health Sciences Education (OHSE) administers degree programs of the Vanderbilt University School of Medicine. The dedicated staff in OHSE work to provide a range of support including academic program administration, educational design and informatics, financial and administrative oversight, and student services. Duties and Responsibilities:
Acts as first-point-of-contact for the office including receiving and directing visitors, handling program packages and mail, actively monitoring email inbox, and responding to telephone inquiries
Provides administrative support for various meetings and events throughout the year (e.g., orientation, student socials, graduation, etc.) including room scheduling, facilities coordination, A/V, catering, materials, publicity, invitations/RSVP’s, presentation/program materials/handouts preparation and documentation of sessions. Maintains current and accurate calendars for DHSS classroom spaces.
Coordinates routine housekeeping and repair requests of shared spaces including the student lounges, DHSS classrooms, and the graduate education offices.
Assists with all phases of academic and operational support including preparation and distribution of documents for courses and committees, annual catalog and program handbook revisions, graduation coordination, accreditation, and alumni surveys.
Supports the admissions process by serving as first-point-of- contact for prospective students and coordinating details of recruitment events, tracking, and communication with applicants.
Supports orientation and onboarding of all new students ensuring the program and students meet the compliance requirements mandated by Vanderbilt University.
Helps communicate processes around registering for classes, monitoring grades and tracking degree requirements.
Routinely assists with updating/creating content for the DHSS website and periodically assists with development of RedCap surveys and course evaluations. Routinely assists the Clinical Director with ASHA (American Speech-Language-Hearing Association) certification and KASA (Knowledge and Skills Acquisition) forms.
Supports annual accreditation processes by coordinating applicable materials, updating the program outcomes database, and completing reports on behalf of the Program Manager and faculty leaders during the spring/summer term.
Maintains several program databases to ensure data is up to date.
Qualifications:
A bachelor’s degree from an accredited institution of higher education, or equivalent combination of education and experience, is strongly preferred.
Two years of experience in higher education or program administration is preferred.
Established computer skills, specifically proficient use of Microsoft Office Suite is necessary.
