Salary Range: $30.22 - $36.10

Position Summary

Under guidance, provides a wide range of administrative and secretarial support to senior staff within the department. This role also assists with coordinating the academic appointment, promotion and credentialing processes as well as the education and training activities for the department.

Job Responsibilities

  • Routinely analyzes and evaluates workflows to ensure maximum efficiency.

  • Coordinates calendars and schedules appointments and meetings. Prioritizes requests for meetings and coordinates the necessary arrangements for meetings.

  • Answers phones, responds to inquiries and triages calls to appropriate personnel.

  • Prepares and processes payment requisitions.

  • Prepares routine letters, memos and correspondence.

  • Provides cross-coverage for the department time keeper. Responsible for timekeeping entry and maintaining timesheet information.

  • Maintains inventory and orders supplies as needed.

  • Assists with the onboarding of visiting students, observers and volunteers, ensuring all necessary paperwork is in place.

  • Assists with the processing of faculty and non-faculty appointments, re-appointments and promotions. Maintains compliance records for both College and NYP Hospital. Works with HR Immigration to ensure compliance of foreign academic appointments.

  • Assists with special projects as assigned.

Education

  • High School Diploma

Experience

  • Bachelor’s degree is preferred.

  • Approximately 3 years of related experience providing secretarial support to senior leadership.

  • Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".

  • Demonstrated proficiency with MS Office Suite and database applications.

  • Demonstrated organizational skills and ability to pay close attention to detail.

  • Demonstrated critical thinking and analytical skills.

  • Demonstrated ability to multi-task and prioritize in a fast-paced environment.

  • Ability to treat confidential information with utmost discretion.

  • Ability to exercise standards of professionalism, including appearance, presentation and demeanor.
