Director, Facilities and Maintenance, Transitional Housing

Reporting to the Deputy Vice President, Facilities Operations, the Director, Facilities and Maintenance, Transitional Housing oversees building maintenance and housekeeping services for Breaking Ground’s transitional housing portfolio throughout New York City. The Director partners with the Deputy Vice President and Assistant Directors, Facility Maintenance implementing standard operating procedures, building maintenance, repairs, and housekeeping to ensure safe, quality spaces.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide Program Directors and transitional housing sites’ maintenance staff with the necessary tools, including standard operating procedures, janitorial and preventative maintenance schedules, hands on training, and more, to ensure all daily operations and facilities maintenance needs are met

  • Establish and assist with implementing systems of accountability to ensure standards are being consistently met, providing regular information and feedback to site leadership so they can effectively and responsibly oversee the work of transitional housing sites’ maintenance staff

  • Oversee and directly supervise Assistant Directors, Facility Maintenance and is responsible for performance management; implementing systems of accountability and strategies for ensuring performance standards are met; and supporting the learning and development of the team

  • Conduct interviews and approve final candidates for Facility Maintenance Supervisors, Engineers, and other specialized maintenance positions

  • Develop, implement, and monitor janitorial schedules, preventative maintenance plans and schedules at all transitional housing sites

  • Ensure preventative maintenance schedules are adhered to at all transitional housing sites and conduct annual reviews of janitorial and preventive maintenance schedules and revise as needed

  • Establish and implement standard operating procedures for Facility Maintenance Supervisors about how to reduce violations, maintain equipment, and efficiently project-plan minor repairs

  • Develop and provide trainings to transitional housing maintenance staff to improve knowledge, skills and expertise in maintenance best practices at the transitional housing sites

  • Complete quarterly physical transitional housing sites inspections, including fire life safety regulations, and provide feedback to each site. Implement corrective action plans and monitor progress to ensure issues are resolved and/or brought up to standard

  • Document own work in Maintenance Connection and put systems in place to ensure each site is using Maintenance Connection

  • Manage electronic keybox system(s) (e.g. Morse Watchman) at transitional housing sites

  • Accountable for transitional housing sites adhering to preventive maintenance plans

  • Liaise with Office of Temporary and Disability Assistance (OTDA) and DHS as needed

  • Establish regular standing meetings and as-needed check ins with stakeholders to ensure effective dissemination of information and alignment on critical projects and areas of work

  • Ensure all vendor contracts related to building systems and CCTV are active and contain requisite levels of service required for each transitional housing site

  • Establish guidelines and protocols for determining what types of work and services can be approved at the transitional housing site-level and what needs to be escalated and how. Coordinate directly with vendors for work and services that are escalated

  • Ensure completion of all work to address violations that do not meet the threshold for major repair or capital project

  • Draft and submit all CAPs to DHS and OTDA according to expectations, guidelines, and deadlines of these agencies. Ensure organized record keeping of all CAPs; provide updates to traditional housing staff as CAPs are completed

  • Perform other duties as assigned

    MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent required

  • Minimum of 5 years of experience working in the building trades or related field

  • Minimum of 2 years of experience supervising maintenance, facilities, and janitorial staff

  • Basic skills in plumbing, electrical work, carpentry, and dry wall application

  • Working knowledge of building operations: e.g. steam boilers and elevators

  • Strong knowledge of New York City, New York State, and Federal building codes and regulations

  • Required: current S-12 Fire Sprinkler, S-13 Standpipe, and S-95 Fire Alarm Systems Certifications

  • Preferred: F-07 and W-07 Fitness for Fire and Emergency Drill Conductor Certifications. Breaking Ground will pay for you to obtain your certification

  • Proficiency with Microsoft Office Suite programs including Word, Excel, Outlook, and Microsoft Teams; experienced using work order systems

  • Ability to read and understand design drawings

  • Strong communication skills and the ability to manage competing deadlines

  • Ability to work with diverse populations, including persons with mental illness and histories of homelessness; previous experience preferred

  • Must be able to climb stairs in case of elevator failure

  • On call availability

  • Valid NY or NJ driver’s license with a good driving record, as defined by Breaking Ground, is a condition of employment
