Tog Manufacturing Order Process Administrator/Receptionist in North Adams, Massachusetts

Summary: This position is responsible for greeting visitor, answering the phone, processing all purchase orders and performing administrative duties for departments to include filing, clerical and typing. Essential Functions: - Monitor in stock parts. - Monitor customer websites for new Purchase Orders (PO). - Process customer PO per ISO procedure. - Check pricing against the quote log to verify accuracy. - Process invoices. - Check delivery date against quoted lead time in quote log. - Review and verify part number and revisions on PO against quote log. - Review and verify freight terms against quotation. - Communicate any PO discrepancies and verify updates. - Create Sales Orders from PO accurately and timely. - Update sales order with customer purchase order revisions. - Track all price changes and verify in system. - Track and stay current on all delivery dates and changes. - Open job orders from sales orders and review dates. - Monitor all orders and material. - Issue and return material. - Download and print customer drawings. - Print bill of materials from customers. - Maintain Purchase order and miscellaneous filing. - Communicate with customers regarding shipment of jobs in a professional and timely manner. - Answer all incoming calls - Sort Mail - Greet all visitors - Perform other duties as assigned. Supervisory Responsibility: No Technical Skills: - Ability to problem solve. - Strong knowledge of MS Excel, MS Word, MS Outlook, Vista and database applications. - Strong organizational skills and attention to detail. - Ability to multi-task and handle varying tasks simultaneously to meet deadlines. Behavioral Skills: - Ability to demonstrate a motivation to provide fast, accurate and complete customer service at all times. - Ability to apply organizational skills when given a project. - Ability to handle multiple projects/tasks simultaneously to meet deadlines. - Ability to use resources effectively to generate solutions. - Ability to take initiative when solving problems. - Ability to work independently with little direction. Physical Requirements: - Ability to sit for prolonged periods of time. - Ability to type on a keyboard and operate a PC. - Ability to converse over a telephone. - Ability to work in office environment. Education: High school graduate or GED; Associates degree preferred. Equivalent experience considered at the discretion of management. Experience: One to two years of experience with general administrative duties in a manufacturing environment. Related experience considered at the discretion of management.
