VCA Animal Hospitals Hospital Administrative Assistant in Oakland, California

As an Administrative Assistant, your job entails several important aspects of our hospital from payroll to accounts payable to client services. As an administrative assistant, your primary responsibility will be to assist the hospital manager with various tasks, including following up on payroll and payroll issues along with accounts receivables and to assist with the Client Service Representatives with checking-in, answering phones, making appointments, and or filling prescriptions if needed.

Primary Responsibilities:

  • Payroll, review missed punches, vacation pay, sick pay etc..

  • Weekly audit of QMR and Order Inspection Report for invoicing errors

  • Supervise flow of appointments, assuring OPC’s are assigned to each appointment and maintain efficiency

  • Handle client complaints, respond to online reviews

  • Holds the role of Safety Coordinator and maintains standards and protocols implemented at the corporate level. Leads monthly safety meetings, including topics and minutes

Secondary Responsibilities:

  • Tracks staff eligibility for new scrubs and name tags. Tracks CE and license reimbursement for RVT’s, DVM’s.

  • Organizes internal events such as potlucks, holiday party

Job Requirements:

  • Education: High School Graduate or GED

  • Work Experience: 1-2 years of animal care experience is preferred. Computer, customer service, call center experience.

  • Must comply with all company policies listed in the employee handbook

  • Adhere to the Controlled Substance Policy and maintain accurate records

  • Conduct themselves professionally at all times

  • Communicate with clients and co-workers respectfully

  • Holds themselves to the highest performance standard and lead by example

  • Detail oriented and works efficiently under pressure while meeting all applicable deadlines

  • Must be able to work independently and productively with minimal supervision

  • Able to work a flexible schedule to include holidays and weekends

Skills: Strong interpersonal skills and ability to communicate effectively with veterinary staff and clients; basic knowledge of veterinary medicine; excellent decision-making skills, multi-task oriented; must be able to work in a demanding, hectic environment.
