Our multi-disciplinary practice is built on the core values of professional excellence, design quality and collaboration. We are seeking an Office Manager to join our Philadelphia office. This is an on-site position.
The Office Manager position is responsible for overall office activities, including the meeting spaces, and facilities. This position is also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for providing arrangements for office meetings.
Essential Functions: Manage office physical resources, equipment and supplies, including ordering supplies, arranging repairs, and managing office layout Oversee staff needs, respond to queries, and support new hire orientation. Act as the point of contact for office support needs. Manage spending within Administrative Services budget, handle invoices, perform account administrator duties for office business accounts (e.g. Staples, Amazon, Bevco, GrubHub, etc.). Manage company fleet and ensure maintenance of vehicles. Maintain petty cash and public transportation payment cards. Troubleshoot and address facilities issues. Liaise with building management, including security, for staff and visitors' requirements. Disseminate key updates and announcements to staff regarding office activities and events. Act as fire warden for the office. Dispatch courier service. Maintain warehouse files and request retrievals. Organize office events such as meetings, parties, and conferences. Assist with vendor Lunch and Learns. Update and maintain information for Administrative Services and Philadelphia office on the company intranet. Provide general administrative support to office staff. Perform other duties and responsibilities as required or requested.
Requirements Required Education and Experience: Must be able to anticipate problems and use sound judgments and tact in handling confidential matters Excellent organizational skills, demonstrated initiative, attention to detail, strong written and verbal skills, and a professional manner Possess a high level of independence, decision making, dependability, flexibility and accuracy are required Ability to manage multiple workflows, balance competing priorities, and meet deadlines in a fast-paced environment Must have intellectual curiosity and desire to learn Comfortable performing Internet research, photo editing, scanning, and file conversion
Preferred Education and Experience: Bachelor's degree Previous experience working in the A/E Industry or other professional services
