The University of Pittsburgh’s Office for Equity, Diversity, and Inclusion (OEDI) is seeking a qualified candidate for the role of OEDI/Civil Rights Administrative Assistant. The OEDI/Civil Rights Administrative Assistant serves as a contact for discrimination and harassment inquiries regarding anti-discrimination laws, regulations, and requirements, assists with case management, responds to inquiries and reports of discrimination and harassment, and analyzes and maintains reports, case records, and other files regarding compliance. Strong interpersonal communications with an emphasis in tracking/follow up and project management skills are essential.
Job Summary
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
Essential Functions
Assist with scheduling for civil rights-related matters.
Proofread, and send out civil rights-related case documents.
Review investigation and inquiry reports from the Office of Compliance Investigation and Ethics with the Civil Rights and Advocacy Senior Manager.
Coordinate with University Counsel on case-related document edits.
Respond to litigation hold notices and collect documents.
Create and close cases in case management system.
Review case tracking spreadsheet and update.
Review and research best practices for case flow charts and civil rights cases.
Assist with data pull from Pitt Concern Connection
Budget Management related to personnel administration.
Coordinate external meetings with third party vendors.
Attend committee meetings and distribute notes.
Manage the calendar and schedule meetings for the Director of Civil Rights and Title IX.
Provide administrative assistance to executives in OEDI and perform duties as assigned by the Vice Chancellor.
Physical Effort Duties are primarily sedentary. Must be able to use a computer at a desk or similar workstation and travel to on-campus meetings as needed.
