Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the non-profit sector, located in Richmond, Virginia. This role involves a variety of general office duties, with a focus on supporting church members and assisting with the organization of various activities.

Responsibilities:

• Handle and redirect phone calls, ensuring all inquiries are addressed promptly.

• Welcome and assist church members, providing exemplary service in a busy office environment.

• Monitor and respond to emails and other correspondence in a timely manner.

• Oversee the ordering of office supplies and manage the reception of packages.

• Coordinate room reservations and setups for various church activities.

• Manage online registration systems, monitor registrations, and update information as necessary.

• Maintain the pastors’ schedules, organize appointments, and plan meetings.

• Assist in the organization of near and long-term activities while ensuring pastoral priorities are upheld.

• Support various discipleship teams, classes, and small groups in their operations.

• Manage adult discipleship opportunities by tracking attendance and preparing distribution lists, class rolls, and reports.

• Create and maintain discipleship web pages, social media posts, and print materials.

• Order necessary supplies for the discipleship ministry, bookstore, and classes.

• Prepare and coordinate information for small groups, classes, seminars, and special events.

• Utilize skills in answering multi-line phone systems, administrative assistance, ordering office supplies, filing, and scanning to ensure efficient office operations. Requirements • Minimum of 2 years of experience in an administrative role within a non-profit organization

• Proficient in answering multi-line phone systems and providing administrative assistance

• Demonstrated experience in ordering office supplies

• Proficient in filing and scanning documents

• Excellent written and verbal communication skills

• Strong organizational, time management, and multitasking abilities

• Proficient in the use of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

• Ability to work independently and as part of a team

• Strong attention to detail and problem-solving skills

• High level of discretion and confidentiality

• Experience in a fast-paced, deadline-driven environment

• Ability to adapt to changing priorities and needs of the organization.
