University of Rochester Department Coordinator IV in Rochester, New York

GENERAL PURPOSE:

Provides administrative support within a department, in addition to serving as the principal assistant to leadership roles. Responsible for performing a variety of advanced, complex assignments including department accounts working with minimal direction under their own initiative and latitude for independent judgment. Provides work leadership to other support staff. Processes highly confidential administrative information and works with limited supervision and exercise independent judgment.

JOB DUTIES AND RESPONSIBILITIES:

  • With general guidance as to priorities, manages the time and calendar of FLDRN Directors choosing or recommending among competing demands on time, referring matters to be handled by others, controlling access to Dean or Executive.

  • Coordinates the clerical and other support services of members of the leadership team.

  • Represents FLDRN or department in requisitioning and arranging for administrative and other service, including support staff, space, equipment and supplies. Approves payrolls and invoices. Serves on committees concerned with administrative reports. Edits and publishes course and program notices, departmental regulations, announcements of symposia and minutes of department meetings

  • Under general direction as to policies and regulations, manages the clerical records and other support services in a central office for FLDRN..

  • Assist and serves as back up with office management and processing of invoices and may assist with the preparation of departmental financial and workload statements and accounts; estimates and controls expenditures for supplies and auxiliary services; records and may approve changes to department or sponsored project accounts. Coordinates with Accounting Office and sponsoring agencies.

QUALIFICATIONS:

  • Associate's degree and 3 years of progressively responsible experience in administrative support required.

  • Or equivalent combination of education and experience required.

  • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools (Zoom, Box), Adobe, etc. required.

  • Office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning required.

  • Ability to effectively communicate and interact, both verbally and in writing, with people across diverse backgrounds and cultures required.

  • Intermediate knowledge of hardware and software functionality preferred.

Pay Range

Pay Range: $20.92 - $29.29 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
