DEPARTMENT OF ELEMENTARY & SECONDARY EDUCATION Substitute Secretary in ROLLA, Missouri

Primary duties are typing, filing, record keeping, answering telephone and meeting the public.

ESSENTIAL FUNCTIONS:

The incumbent must have the ability to perform the essential functions below either with or without reasonable accommodations.

  1. Type 45 wpm without error with computer competency in Microsoft Office (Word, Access and Outlook).
  2. Maintain moderately complex databases in order to provide service and accurate information for management.
  3. Review work of staff in order to ensure work product meets established standards.
  4. Assist staff with completing forms in order to provide service.
  5. Compile and maintain lists and records.
  6. Complete expense and/or other financial forms in order to process reimbursement or payment request.
  7. File and copy correspondence and other records maintaining an organized filing system.
  8. Open, sort, process and distribute mail.
  9. Answer telephone, take messages and route calls efficiently.
  10. Greet and welcome visitors, determine nature of business and conduct visitors to appropriate person.
  11. Order and inventory supplies.
  12. Follow assigned daily work schedule.
  13. Accurately complete required reports on or before established deadlines.
  14. Communicate clearly and appropriately with public, coworkers, parents, etc.
  15. Communicate effectively in written form, using correct grammar, punctuation, clarity and consistency of thought.
  16. Maintain confidentiality of parent, student and staff personally identifiable information.

ADDITIONAL RESPONSIBILITIES:

  1. Participate in staff development activities as necessary to keep secretarial skills updated.
  2. Demonstrate effective problem solving skills.
  3. Maintain an orderly, safe, clean, attractive work environment.
  4. Maintain CPR certification at the level determined by the American Heart Association or Red Cross as Basic Life Support for Health Care Providers.
  5. Lift and move 50 pounds.
  6. Utilize each student's individual communication system.
  7. Infrequent travel for training and staff meetings.
  8. Perform other duties as assigned.

EDUCATION REQUIRED/PREFERRED:

  1. High School diploma or G.E.D.
  2. All applicants must be tested in typing proficiency.
  3. Supplemental secretarial practice, bookkeeping and computer application courses preferred.
  4. Secretary I entry level.
  5. Secretary II minimum of two years as a Secretary I; or two years experience successfully performing tasks comparable to the Secretary I classification.

(Other qualifications and experience which in the opinion of the Commissioner of Education meet the requirements of the position may be accepted in lieu of the above.)
