Job Title: Operations Division Support Coordinator, Team Lead

Job Summary:

The Operations Division Support Coordinator, Team Lead, oversees a team of coordinators and provides critical administrative and workflow support to the Airman and Family Readiness Operations Division (AFPC/DPFF), Casualty Matters Division (AFPC/DPFC), and Integrated Resilience Operations Division (AFPC/DPFZ). This role is responsible for ensuring the effective execution of Military & Family Readiness (M&FR), Casualty, and Resilience programs by managing workflow processes, tracking systems, and key program initiatives, while leading a team to meet organizational objectives.

Key Responsibilities:

  • Lead and supervise the workflow support team, ensuring timely and accurate execution of all administrative tasks.

  • Develop and refine operational processes to enhance program support, improve workflow efficiency, and align with program goals.

  • Coordinate and document meetings, conferences, and training sessions for the division, including managing virtual sessions and providing technical support.

  • Manage internal/external calendars, including scheduling meetings, round tables, and events for division staff.

  • Ensure accurate maintenance of tracking systems (e.g., AFFIRST) and oversee data management processes.

  • Liaise with Division Chiefs and Contracting Officer Representatives (COR) to ensure alignment of objectives and support program initiatives.

  • Coordinate official travel logistics, including managing travel-related tasks for division staff.

  • Provide mentorship, training, and performance feedback to staff to enhance administrative capabilities.

  • Report on team performance, task completion, workflow improvements, and provide weekly updates to Branch/Division Chiefs.

  • Support procurement tasks, office supply management, and shipping logistics as needed.

Minimum Qualifications:

  • Associate degree in administrative management, leadership, communications, business, or a related field, or 5+ years of relevant work experience in administrative support and team management.

  • Proven experience leading teams and managing workflow processes.

  • Proficiency in data management tools, workflow business systems, and excellent organizational skills.

  • Strong communication, problem-solving, and leadership skills.
