Insight Global Administrative Operations Assistant in San Francisco, California

Job Description

Our client is seeking a full-time Administrative Operations Assistant to support the day-to-day processes related to the operation and function of the Operations team. This person will be reporting to the Operations Manager. The essential functions of the role will include:

Administrative Tasks (50%)

Note taking

Assisting with migration of electronic files between platforms

Helping troubleshoot file errors

Updating documentation (both paper and digital)

Providing administrative support for other teams

Other administrative tasks as needed

Front Desk Tasks (40%)

Open the office and prepare the kitchen each morning

Answer the office phone and forward calls/messages to the appropriate staff members and teams.

Manage supply inventory, including placing orders and stocking supply areas

Manage incoming/outgoing mail deliveries

Communicate with Ops team and those expecting visitors to the office to help maintain safety and security

Respond to request tickets from staff and team members

Assist with minor office clean up, including kitchen and common areas

Event Tasks (10%)

Prepare office conference rooms for internal and external meetings

Welcome guests to the office, providing them with beverages and identifying tags

Support the Internal Events Coordinator with onsite staff events

Other projects and tasks determined in collaboration with the Operations Manager

Skills and Requirements

MUST HAVES

2-3+ years of Office support staff experience

Documentation experience

High school degree or equivalent

Microsoft Office proficiency (Expert Preferred)

Familiarity with SharePoint

Good understanding of filing systems PLUSSES

Experience as an administrative assistant, or another position where youve interacted with clients or the general public

Light knowledge of facilities management

Proficiency in Excel

Experience with SharePoint migrations null
