Robert Half Executive Assistant/Office Manager in Seattle, Washington

Description

We are seeking a Part Time Executive Assistant/Office Manager to join our team in Seattle, Washington to work roughly 20-32 hours per week. This is a 3 month contract role. This role involves a variety of tasks in the realm of office management and executive assistance. You will be tasked with maintaining our office space, coordinating various office projects, and providing support to our remote and in-person employees.

Responsibilities:

• Coordinate and manage the office space, which includes maintaining supplies, managing key cards, and liaising with building management

• Assist with both in-person and remote employee requests to ensure smooth office operations

• Manage the ordering of breakfast, lunch, and snacks for the office, meetings, and team events

• Handle credit card reconciliation for Executives, Office and all company subscriptions through Expensify

• Oversee the organization and scanning of mail and assist with special projects as needed

• Manage the executive's calendars with a focus on scheduling and coordinating meetings

• Organize company and departmental meetings, including scheduling, sending reminders, and organizing catering when necessary

• Create PowerPoint and Google slides for internal and external meetings

• Plan and manage events including executive, team, and employee meetings

• Maintain corporate files and ensure they are up-to-date and organized

Skills required:

• Proficiency in CRM and Calendar Management

• Excellent Communication skills and ability to manage Correspondence

• Familiarity with Zoom, Google Suite, and Microsoft PowerPoint

• Experience in Event Coordination

Requirements • Minimum of 3 years of experience in an Executive Assistant or Office Management role

• Proficiency in CRM platforms

• Experience with Calendar Management

• Excellent communication and correspondence skills

• Familiarity with virtual meeting platforms such as Zoom

• Proficiency in Google Suite applications

• Experience with Microsoft PowerPoint

• Ability to coordinate and manage events

• Must have a strong attention to detail and organizational skills

• Ability to multitask and prioritize tasks effectively

• Excellent problem-solving abilities.
