Job Description: Perkins Coie is seeking a qualified, dynamic candidate to take on the Operations Assistant role responsible for the Seattle Operations Desk. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Greet and assist clients, visitors, and vendors in a professional manner and resolve occasional difficult visitor requests in a calm and constructive manner. Be knowledgeable of firm amenities and resources offered by Operations and other departments. Be actively aware of firm events to answer general questions, provide directions or contact information to appropriate personnel. Handle incoming telephone calls and email as necessary and appropriate. Perform new cardkey printing and issue loaner cardkeys to firm employees; provide vendors with vendor cardkeys as appropriate and maintain accurate records of their disposition. Oversee and process Operations and other administrative department credit card statements for payment. Review incoming supplies and confirm accuracy of the delivery. Apply general ledger codes as appropriate and route to Operations Manager for approval. Be fully versed in safety procedures. Respond to 911 alerts, report suspicious persons or activities to Operations management, Security team, and property management, as necessary. Receive documents and packages on behalf of the firm and for employees' personal deliveries. Maintain a receiving log of all documents and packages and process in a timely manner. Coordinate delivery of On Demand requests and "You've Been Served" documents. Regularly maintain office information slides in MagicINFO. Report janitorial and other repairs to Facilities or building management. Coordinate and maintain log for the PSC, SAM, and all other firm-sponsored tickets. Stock, sell, and track postage stamps. Assist with clerical overload and special project work, as directed. Provide backup assistance to Main Reception as needed. Update and maintain the online Ops Desk manual. Perform iVisitor badging for vendors and visitors. SPECIFIC SKILLS REQUIRED Possess superb customer service skills and ability to present self in a professional and courteous manner. Communicate effectively, both orally and in writing, using firm-provided tools and software. Demonstrate multitasking and problem-solving skills with diplomacy and tact. Exhibit high degree of attention to detail. SPECIFIC SKILLS PREFERRED Competence with standard software: Outlook, Word, and Excel. EDUCATION AND EXPERIENCE Qualified candidates must have a high school diploma or equivalent and two years of previous office/reception/switchboard experience.
