Our team is comprised of 50+ dedicated professionals who work across a variety of marketing and communications disciplines for both the health system and UW School of Medicine, including brand and marketing strategy, news and media relations, internal and crisis communications, web development, UX/DX strategies, social media, writing, and graphic design. The Senior Communications Project Manager holds a critical and supervisory role within the Strategic Communications team and is responsible for managing highly visible, large-scale communications and communications projects and initiatives for UW Medicine. Projects may include a variety of communication deliverables ranging from business operations talking points and insights, executive communications support, summarizing deliverables in presentations to leadership boards and leaders, creating presentation visuals, employee communications, external outreach to patients, partners, and the general public, and more.

A primary area of responsibility will be managing leadership communications projects, particularly communications for UW Medicine’s critical, system-wide initiative called Mission Forward. The successful candidate will have extensive experience leading and managing staff and communications projects, and in providing guidance to and communications for senior leaders. They will have a proven track record of coordinating the timing and execution of deliverables with team members and partners, ensuring projects are completed effectively and on time. They will hold a strong understanding of audience, effective messaging, and dissemination mediums. They will possess exceptional organizational and project management skills, and consistently demonstrate both an acute attention to detail and vision for the big picture.

A successful candidate will possess strong interpersonal and relationship-building skills and the ability to drive projects to completion in collaborative ways. They will hold a strong understanding of and commitment to principles of diversity, equity and inclusion. They will possess the ability to align communications with the UW Medicine culture, mission, vision and values. They will have proven success managing direct reports and experience using project management and presentation software. They will have solid verbal and presentation skills as well as a high level of accuracy and skill in written communication. They must be able to work at a fast pace, prioritize and juggle multiple projects and deliverables, adhere to deadlines, be a hands-on producing manager, and drive outcome-focused results.

This position interacts with leadership, faculty and staff across multiple UW Medicine entities including: Harborview Medical Center, UW Medical Center, Valley Medical Center, Fred Hutchinson Cancer Center, UW Primary Care Clinics, UW Physicians, Airlift Northwest, and the UW School of Medicine. The position reports to the Director of Internal Communications. The role collaborates closely with members of the internal communications, media relations, social media, digital, content and marketing teams as well as executive, clinical and operational leaders.

DUTIES AND RESPONSIBILITIES 75% Communications Planning, Management and Execution: • Develop communications plans, communications strategies and oversee deliverables, timing, coordination, and execution. • Build ongoing relationships and establish touchpoints with key leaders and partners to proactively stay abreast of activities and progress of key performance indicators in business and clinical operations, and help identify, support and execute communications that convey this information in appropriate formats for channels and venues that reach different internal and external audiences. • Determine, build and effectively roll out and use effective project management, data collection and reporting tools for coordination of these communications and communications plans with the internal and broader strategic marketing and communications teams. • Effectively and proactively lead communications planning and execution, reliably ensuring the accurate and on-time execution of large-scale communications projects. • Work effectively with senior leaders and other employees across the UW Medicine system to build relationships, facilitate cross-functional communication and move projects to completion in a collaborative way. • Anticipate communications needs and proactively work to avoid obstacles and facilitate the implementation of solutions. • Ensure alignment with overall communications strategy, organizational mission, and organizational values. • Understand and work to incorporate principles of diversity, equity and inclusion in all projects, products, and interactions. • Advise leaders, partners and staff on communications planning, strategy, and communications management, pulling from a deep knowledge bank, including best practices. • Accurately convey objectives, insights, key messaging, timing, formats and needed deliverables to team members and develop content as needed, including for board presentations, townhall deck updates, the employee intranet, email announcements, talking points, FAQs, and other collateral. • Develop and oversee communications projects and a planning calendar. • Analyze data, provide recommendations, and manage implementation of data-driven decisions to ensure continuous improvement and the ability to demonstrate value.

25% Team Management: • Manage, support and mentor a senior writer with strong and collaborative management skills. • Review, edit and provide oversight of writer’s work as part of advancing and executing communications plans and projects. • Help onboard new communications team members. • Provide performance coaching and evaluation of team members. • Identify areas where improvements are needed to improve team collaboration and deliverables.

MINIMUM REQUIREMENTS • Bachelor’s degree in communications or related field, or equivalent experience. • Five years of experience in communications strategy development, planning and execution.

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration. DESIRED QUALIFICATIONS • Ten years of progressively responsible experience in communications strategy development, planning and execution • At least five years of experience supporting executive communications. • Advanced degree in communications or related field. • Prior experience supporting executives in business operations communications. • Prior experience working in a large, complex organization. • Prior work in an academic or health system setting. • Familiarity with the AP style. • Experience with SharePoint and message dissemination platforms such as Marketo.
