Officer / Senior Officer, Operations & Supply Chain

Objectives of the Position:

  • The position ensures the timely and accurate processing of all trades of BASF Metals Shanghai Ltd (BMSL). Provides operations support to trading and commercial activities. The incumbent administrates contracts and ensures the terms are adhered to and handles value added tax. Coordinates physical movements of metal imported and received at BASF site. The role participates in internal / external audit and financial reporting compliance. Responsible for elevating any operational issues, project related tasks.

  • This position oversees and executes the Supply Chain activities of BASF Metals Shanghai Ltd. (BMSL), including basic importing process and logistics warehouse development, execution of transactions in SAP, monitoring of inventories, resolving and escalating of any operational issues. This role will be the main interface between external customers and the BASF BACH site for BMSL.

  • The position reports directly to the Operations team lead, Shanghai. The incumbent is responsible for the activities described below for BASF Metals (Shanghai) Ltd (BMSL).

Main Tasks:

Operations Activity: (70%)

Processing of Trades and System Transactions

1) Ensuring all trades life cycle events run through the Trinity - trading system. Ensure trades / positions are reconciled.

2) Tracking customer documentation is updated in the Trinity system and confirms are signed and returned to the bank in accordance with the bank's policy.

3) Ensure that all trades are correctly recorded on the blotters and input into system. Make sure the accuracy of counterparty generated confirms; Ensure that all trade confirmations are received from / sent to counterparties.

4) Ensure all settlement documents with suppliers and 3rd party customers are timely prepared and sent with accuracy.

5) Liaise with finance/credit re payment of trades/associated invoices.

6) Ensure all order transactions are completed in SAP with accuracy.

Metal Movements / Shipping and Reconciliation

7) Verify metal releases and receipts of physical precious metal from third parties.

8) Confirm pool account balances with the depositories weekly

9) Prepare monthly pool account reconciliations (for Supervisor's view) and clear discrepancies.

10) Liaison officer for any import / export process and metal management.

11) Review shipping documents including invoices/VAT/Tax and duty suspension documents.

12) Communicate timely and accurately to traders about stock positions and any credit considerations.

13) Ensure inventory accuracy are met in system. Promptly escalate if any issues are expected.

14) Elevate any operational issues in a timely fashion to operations team lead & Supply chain team lead.

Supply Chain Activities: (30%)

15) Execution of all Supply Chain related SAP operations. This includes the receipt of Purchase Orders, entry of Sales Orders. Any deviations or changes on transactions need to be immediately updated and make corresponding communications or timely report.

16) Upon completion of orders, execute inbound delivery completion into BMSL and outbound delivery completion to external customer. Collaborate with appropriate parties (basic concept of importing process and proactive communication with Customs dept and warehouse dept) to ensure no issues with physical movement of goods.

17) Proactively communicate with customers and suppliers. Ensure all transactions are completed in a timely and accurate fashion.

18) Proactively assist supervisor to make inter departmental communication on local transportation quotation and importation process alignment.

19) Monitor Supply Chain related KPI's and deep analysis for any forecast deviations, if necessary.

Compliance

20) Execute the robust system of internal controls exists in order to satisfy internal, year-end, Financial Reporting Compliance (FRC) audits including an update of Process Controls as and when required.

21) Ensure that BASF guidelines are properly implemented and that requirements are fulfilled in a timely manner

Value-Added Taxes

22) Be aware of VAT regulations and the implications for the business.

Adhoc

23) Projects - support of and participation in, projects of the business unit.

Minimum Education and Qualification Required for the Position:

  • Education: bachelor’s degree in finance, Economics, Business Administration, or related discipline

  • Working Experience: 3+ years in a professional office environment. Trading, Logistics, Supply Chain, or financial experience seen as a benefit.

  • Technical & Professional Knowledge:

  1. Strong personal computer skills (i.e. SAP, Intermediate/Advanced Excel, Word and Power Point).

  2. Good numerical and analytical skills combined with attention to details.

  3. Must be fluent in English with excellent written and verbal communication skills.

  4. Must be detailed oriented and a team player.
