Job Summary
The Field & Channel organization is currently in search of a skilled Executive Assistant to provide support to the director of WW Field Strategy and AMS Field Operations. The ideal candidate should have strong administrative assistant skills and an understanding of company policies and procedures, enabling them to handle complex tasks and assignments efficiently. The role demands a comprehensive grasp of both general and technical aspects of the job, with a focus on tackling multifaceted assignments that require substantial judgment, initiative, and specialized knowledge to address challenges and propose effective solutions. The successful candidate will thrive in an environment where they can work independently, completing tasks with minimal supervision. Additionally, any experience with domestic and internal shipments are a plus.
Responsibilities
Holds responsibility for performing general administrative support tasks involved in an organization, while assisting supervisory and non-supervisory employees.
Provide basic administrative support to a team or department, including tasks like data entry, filing, and managing office supplies.
Manages and oversees complex calendars for senior management, ensuring efficient time management and prioritizing important meetings.
Assists with both domestic and international travel arrangements for senior leadership, ensuring smooth logistics.
Coordinates work within the work unit and with other work units/departments, both internal and possibly external to the company.
Produces detailed reports, documents, and presentations as required, often involving data analysis or research.
Ensures that confidentiality is maintained at all times, upholding the company's data protection and privacy policies.
Takes initiative in anticipating needs and proactively offering solutions, demonstrating a proactive approach to administrative support.
Ensures compliance with global process standards and actively participates in continuous improvement initiatives within the department.
Provides guidance, mentoring, and training to individual contributors in lower-level roles, and contributes to their growth in the organization.
Education & Experience Recommended
High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence.
Typically has 6-8 years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field.
