Job Overview:

The Therapy Aide | Scheduling Coordinator provides a combination of clinical and clerical support to ensure quality patient care in a clean and safe environment. They will assist with the set up and clean-up of therapeutic activities. As appropriate, they may participate in patient treatment sessions under the direct supervision of clinicians. They are also responsible for obtaining accurate patient information in order to schedule appointments using the computer scheduling system. They may distribute patient and | or clinician schedules to appropriate hospital staff, as needed.

Qualifications:

Required:

  • High School Diploma or GED equivalent within one (1) year of hire

  • American Heart Association (AHA) BLS Provider Certification

  • Strong customer service skills for interacting with families on site and on the phone

  • Ability to take and follow directions

Preferred:

  • Experience working with children with special needs

Certifications and Licenses Required:

  • American Heart Association (AHA) BLS Provider Certification

Scheduling Requirements:

  • Monday Friday

  • Day/Afternoon shifts

  • Part Time - 20 hours/week

Essential Functions:

  • Assists with patient care activities as appropriate under the direct supervision of a clinician (ex. ADLs, patient transport, pool, exercise program, etc.).

  • Assists clinicians in preparation and clean up for patient care. Practices infection control procedures in cleaning of mats, therapy equipment and toys using a hospital approved disinfectant as per hospital policy and procedure and including areas such as waiting area, ADL kitchen, gym, breakout rooms and therapy treatment space

  • Maintains a safe environment for patient care activities

  • Monitors and maintains inventory of general supplies and equipment. Orders and follows up on receipt of supplies and equipment in timely manner. Maintains temperature logs and monitors inspection of therapy equipment as indicated

  • Provides additional support to staff as needed. (pantry order, hand washing monitor, MSDS book, photocopying, voicemails, volunteer orientation, data collection and entry, etc.)

  • Using the computer scheduling system, coordinates | schedules accurately and timely single and multiple appointments for Outpatients. Disseminates schedules as requested to the appropriate hospital staff and families

  • Prioritizes duties and responsibilities. schedules work flow to facilitate production of accurate, efficient and timely output. Demonstrates time management skills and assists in general departmental organization

  • Communicates clearly and effectively in a timely manner with patients, families and hospital staff, sharing inter-departmental and intra-departmental job knowledge. Receives all calls in a professional and courteous manner

  • Brings scheduling problems or patient's concerns to the attention of the therapy supervisor

  • Demonstrates ability to adapt to changing circumstances related to internal | external factors. Exhibits flexibility dealing with changes in scheduling processes | policies. Willing to learn all components of scheduling process for both OP scheduling

  • Completes intake forms, obtains clinical information in order to make sound judgement as to which services are required, respecting privacy of others and confidentiality of information. Schedules appointments based on information obtained

  • Observes and follows policies and procedures of outpatient rehabilitation

  • Prioritizes duties and responsibilities. schedules work flow to facilitate production of accurate, efficient and timely output. Demonstrates time management skills and assists in general departmental organization

  • Completes any other duties as assigned

  • May assist with supervision and training of volunteers assigned to site.

Physical Demands:

  • Hand | Eye coordination, lifting pulling, walking, concentration, analysis, customer sensitivity, etc.

  • Stamina for standing, transporting material and equipment, assisting with patient transfers
