The Office and Admin Specialist exists in the Office of American Indian Health (OAIH) in the Health Equity Bureau to provide administrative and office support to the Director and other professional staff in the Office of American Indian Health (OAIH). This position has a key role in communicating and interacting with external partners, colleagues across the agency, partner agencies, and MDH leadership. It’s critical this position is culturally competent with a strong understanding of American Indian communities and Tribal Nations and can multi-task in a fast-paced environment.

This position within the Office of American Indian Health will hold duties of complex and sensitive nature relating to the Tribal/State Government relations. Knowledge and/or experience with Tribal/American Indian communities' government is strongly preferred.

Responsibilities include, but are not limited to:

  • Provide administrative support to OAIH leadership in a timely, professional, and efficient manner so the OAIH functions at optimal level.

  • Manage administrative matters according to State of Minnesota policies and procedures with a minimal amount of supervision.

  • Manage external meeting and event logistical details in a professional manner.

  • Manage and support electronic correspondence and communications in a professional and timely manner.

  • Assist with grant and contract processes and coordination, as needed.

Minimum Qualifications

One (1) year of work experience in an office administrative role conducting the following responsibilities:

  • Analyzing and making recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.

  • Experience managing records retention for a work area.

  • Experience explaining policies and procedures in a clear concise, and professional manner to both internal and external customers.

  • Proficient with a variety of software and office technology systems, including Word, Excel, PowerPoint, SharePoint, Adobe, Prism, Crystal and MAPS.

Minimum qualifications to be assessed during the interview:

  • Technical skills sufficient to develop, review, proofread, and revise reports, printed materials, spreadsheets, PowerPoint presentations and correspondence.

  • Strong communication, organization, time management, and prioritizing.

Preferred Qualifications

  • Knowledge of MDH policies and procedures sufficient to advise and establish administrative functions or ability to learn.

  • Customer service skills sufficient to provide courteous, effective, and timely service to clients/customers.

  • Knowledge of American Indian values, realities, and tribal governments in Minnesota.

  • Knowledge of American Indian health systems, health equity and health disparities in Minnesota
