Job Description

The Administrative Associate IV serves Tarleton State University in the Department of Health & Human Performance within the School of Kinesiology in the College of Health Sciences. Works under general supervision and provides advanced administrative support work. This is a full-time staff position located on the Stephenville campus.

Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate. Requires the ability to teach and/or work remotely at the University’s discretion.

Responsibilities:

  • 45% Provides general support to the department head in coordinating and assisting with departmental operations: schedules departmental meetings and appointments for the department head; maintains department budget sheets; coordinates data collection for assessment; prepares Small Class Justification forms, Faculty Load forms; maintains departmental databases; and provides assistance as requested and necessary. Coordinates hiring paperwork for Adjuncts, Graduate Assistants, and Student Workers. This may include typing, mail merge, Excel, and Word.

  • 15% Coordinates departmental enrollment operations: maintains enrollment records, including class rolls, course syllabi, final grades, and final exams; (as directed by departmental administration) provides student overrides, adjusts class limits, prepares section change paperwork, signs drop cards, places and removes advising holds, and coordinates submission of class rolls and semester schedules. Coordinates textbook orders for courses.

  • 10% Reception: Provides excellent customer while maintaining front office coverage: answers and directs incoming phone calls.

  • 10% Provides general support to departmental faculty, students, and other clients: responds to email inquiries; prepares all travel documents for faculty; schedules building facilities; maintains grant budget sheets for faculty; and provides assistance and referral as necessary. Assists with program information and program brochures.

  • 5% Provides administrative assistance with a variety of tasks including assistance with scheduling.

  • 5% Coordinates departmental purchasing operations: obtains purchase information and bids, prepares Requests to Purchase, utilizes state-issued procurement card, checks in receipt of order, maintains packing lists to authorize payment; and orders classroom, office, and other supplies.

  • 5% Acts as departmental liaison to other departments: prepares and disseminates departmental correspondence to other campus and off-campus entities.

  • 5% Performs other duties as assigned.

Minimum Qualifications:

  • High school diploma or equivalent combination of education and experience.

  • Four years of related experience.

Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Strong interpersonal and organizational skills.

  • Ability to work with sensitive information and maintain confidentiality.

    Salary:

    Commensurate with experience

    The target base hourly compensation is $ 1 6.83 and may be negotiable based on funding availability and candidate experience/skillset in relation to th e minim um requirements of this position.
