What You’ll Be Doing

The goal of CIBC’s Capital Markets business is to be the premier client-focused wholesale bank based in Canada. To deliver on this, the Capital Markets arm of CIBC provides a wide range of credit, capital markets, investment banking, and research products and services to government, institutional, corporate and retail clients in Canada and in key markets around the world.

You’ll manage the day-to-day administrative activities in support of Research Analysts and their teams within Global Markets. In addition, you’ll work in a team environment with other support staff in assuming responsibility for the administrative support activities of the department.

How You’ll Succeed

  • Analyst Support - Coordinate meetings and appearances on behalf of the Analysts including making all travel arrangements, team offsites, client events, etc. and monitoring them to ensure maximum efficiency, accuracy and policy adherence.

  • Travel Management - Research and book complex international travel arrangements for multiple team members, often in groups. Liaising with other travel/event arrangers on itinerary planning for conferences. Coordinate, manage and arrange all travel requirements including airline reservations, hotel accommodation, airport transfers and monitor for last-minute changes while abiding by policy and budget.

  • Expense Management - Process expense reports for Analysts and senior professionals in the group, ensuring expenses are within policy and follow guidelines, timely submission.

  • Recordkeeping & Reporting - Maintain extensive and appropriate file systems both electronic and paper for a substantial amount of forms, attestations, appearances, checklists as required for regulatory purposes. Conducts regular reviews to ensure compliance with audit requirements. Prepare and distribute reports daily to the department.

  • General Office Management - Maintain and order office and marketing supplies for the department and monitor inventory - includes ordering required repairs of all equipment, stationery etc. Perform general administrative tasks such as photocopying, filing, invoice coding and processing, mail distribution, couriers, maintain and update floor telephone lists and general department administration files. Maintain department organizational charts, office schedule and vacation tracker.

  • New Hire Onboarding/Offboarding – Oversee onboarding/offboarding for new/departing staff including the coordination of technology access, office set up and building access; ordering business cards, corporate phones, and corporate credit card as required; ensuring that all compliance requirements and internal policies are met. Provide training as necessary.

  • Team Player - Work closely with and may receive direction from the department business manager. Be an effective teammate and flexible in adjusting to changing work priorities. Participate fully and contribute to a positive work environment. Provide back-up coverage to other Executive Assistants within the team.

  • Coordination - Interact regularly with various internal LOBs and departments to accomplish administrative or coordination tasks, and with other advisory or support units (such as Corporate Access) when matters arise that require their involvement, or to develop and implement business process improvements.

Who You Are

  • You have a minimum of 5 years’ experience in an administrative/ professional support function working in a dynamic, fast paced environment, dealing with complex issues and managing conflicting priorities, within scope of a similar role. Post-Secondary education in a related field, preferred.

  • You have experience booking and making complex international and domestic travel arrangements. Experience with conference logistics and coordinating public appearances is an asset.

  • You are extremely detail oriented and very well organized; able to manage time well and multi-task to accomplish a wide variety of tasks, and conflicting priorities.

  • You can demonstrate experience in advanced level technical skills (MS Office: Excel, Word, PowerPoint, Outlook; web browsers). Experience with Visio, Workday, Amex GBT, COUPA and/or Salesforce considered an asset.

  • You are a strong communicator; excellent communication skills, both written and verbal.

  • You are able to manage highly confidential materials in an appropriate manner.

  • You show confidence and ability to exercise independent judgment, discretion and diplomacy in managing the activities of the department.

  • You are proactive, thoughtful and have an inquisitive work ethic. You anticipate needs, think critically and make suggestions for improvements where appropriate.

  • You can work on-site ; you enjoy working in a dynamic, fast-paced, independent, traditional office environment.
