This position performs in a fast-paced high energy team environment, supporting and assisting the Project Team through all project delivery phases for a large regional commuter transit project. The main phases of the project include;

· Preliminary Design,

· Detail design,

· Procurement

· Construction contract administration

· Commissioning and Substantial Completion

Under the direction of the Submittals Manager, the position is responsible for the coordination of project submittals. The incumbent will preferably have experience with capital projects engineering deliverables management, contract administration systems (e.g. Unifier) with a minimum of 2 years of progressive experience ideally within major transit infrastructure projects is an asset.

Under supervision of the Submittals Manager, using independent judgment and excellent organizational skills, you will coordinate submittals (engineering and construction deliverables) in accordance with all company standards and contractual requirements.

Job Specifications & Scope of Responsibility:

· Coordinate with Project’s Document Control team and other project stakeholders to:

o Receive submittals from project stakeholders including Project Company (Project Co)

o Receive, send, and maintain review comment registers between Project Co, Client, and stakeholders

o Review suitability of Client and Stakeholder comments in terms of formatting and compliance with requirements of the Project Agreement (Contract)

· Tracking submittals to completion in accordance with the timescale requirements stated within the Project Agreement

· Monitoring Project’s schedule for submittals

· Building excellent relationship with Project Team and other project stakeholders

· Analyze and mitigate risk of delayed submittals and the impact on the project schedule

· Maintain documentation of activities

· Provide input to summary reports to Executive Management

· Highly responsive and ability to act quickly under changing circumstances

· Highly organized and ability to process and efficiently coordinate numerous submittals

· Effectively and positively influence Client and Stakeholder team members to comply with the Submittal process as set out in the Project Agreement

· Excellent written and presentation communication skills are required

· Positive influencing skills are an asset

· Contribute to the development and implementation of submittal processes as required

· Provide training to Project Delivery Team on contract administration system (e.g. Unifier) and submittal processes

· Accountable to the Submittals Manager

· Coordinate meetings with Project Delivery team, Project Co and third party stakeholders to resolve submittal issues

· Report preparation as requested

· Contribute and draft letter correspondences relating to Work Submittal issues

Here’s what you’ll need :

· BS or MS graduate of an engineering discipline or similar applicable technical discipline.

· Preferably 2 to 5 years’ experience working within transit industry

· Knowledge of Project delivery using AFP, P3, or design/build methodology Capabilities is an asset

· Experience working in capital projects environment or as part of a Project Management Team is an asset

· Familiarity with engineering design management and review is an asset

· Knowledge of transit infrastructure construction an asset

· Understanding and practical application of contract administration and document management software, CM14 and Aconex are desired

· Understanding of project management principles is an asset

· Proficient with Microsoft Suite with a strong emphasis on Excel, and PowerPoint. Other CAD related software’s such as Bentley, Autodesk (MicroStation, AutoCAD, Revit) are considered an asset. Visualization software such as Sketch-Up also considered an asset.
