Purpose of the role:

The Sr. Group Air Planner, Meetings & Eventsrole is the key point of contact for our clients arranging their transportation needs for meetings and events throughout the year. The role is the liaison during the life cycle of the event to ensure all attendees are accommodated to arrive and depart the meeting on time with their air and rail accommodations. The ideal candidate will have strong interpersonal and communication skills, ability to multitask in a fast-paced environment with high attention to detail.

Main responsibilities:

  • *Group Air Planning Intake Process: *
  • o Determine purpose of the meeting with client contact o Identify stakeholder needs o Prepare program outline for deliverables o Design program details to meet needs of participants and identify successful criteria for evaluation of meeting
  • *Financial & Contract Management: * o Identify ancillary revenue sources and/or cost savings opportunities o Ensure completion of payment and/or billing process o Manage to budget
  • Communication: o Establish communication and program update process o Utilize standard and consistent processes to proactively manage program o Provide program feedback to all stakeholders through summary and program debrief
  • Program: o Establish invitation/registration procedure o Assess risk management needs o Determine additional services required such as trip disruption and onsite assistance is needed o Provide air spend and arrival and departure reporting
  • Manage supplier partners and internal support areas to ensure quality and timely delivery and accuracy.
  • Collaborate with web build team as needed
  • Establish and support meeting approvals
  • Alignment with attendee management team, as needed, for programs
  • Ongoing dialogue on efficiencies to enhance overall meeting delivery
  • Escalate and participate in the resolution of delivery issues through notification of management to ensure continuous improvement of M&E processes, procedures and tools.
  • Travel on-site as needed for assigned programs, often acting as the business lead. Collaborate with on-site Lead Travel Director, when applicable
  • Comply with M & E technology usage as required.
  • Track project related time.
  • Increase M&E Industry knowledge by attending internal training, external events supplier presentations, and team meetings.
  • Identify upselling opportunities and action

LI-HYBRID

  • Minimum 8 years of current relative group air experience required (individual bookings, group bookings, full charters, as well as MICE-specific services such as participant handling).
  • Experience with use/knowledge of meeting registration tools a plus
  • Computer proficiency in Microsoft office suite, above average excel and PowerPoint skills
  • Strong knowledge of GDS – AMADEUS
  • English fluent, both oral and written
  • French fluent, both oral and written
  • Effective oral and written communication skills
