What this job involves: The CMMS/Planning and Scheduling Manager is responsible for managing the day-to-day operations of JLL's Validated Computerized Maintenance Management System (CMMS), serving as the primary subject matter expert. This role involves close collaboration with client Reliability, Metrology, and Lab Systems teams to ensure proper integration of new assets and creation of effective maintenance plans. The position oversees the implementation, support, development, and management of the CMMS and associated information systems across the JLL portfolio. A critical aspect of this role is leveraging the CMMS to provide vital data for tracking Key Performance Indicators, analyzing team performance, and benchmarking results against established targets. The successful candidate will play a key role in optimizing maintenance strategies, improving asset performance, and supporting data-driven decision-making to enhance operational efficiency across the organization.What your day-to-day will look like:
Engage with support vendors and customers to ensure timely and accurate service delivery.
Plan calibration and maintenance activities for GMP and non-GMP utility, laboratory, and process equipment.
Coordinate and plan on-demand work orders and routine scheduled maintenances, including vendor liaison.
Utilize CMMS (Blue Mountain RAM) extensively for data entry, scheduling, and reporting.
Adhere to specific job tasks and processes, working independently to complete and oversee assignments.
Collaborate with CMMS programmers on system updates implementation.
Develop and manage information security strategy, including access control for CMMS.
Design and set up CMMS reports.
Lead team in developing uniform maintenance task descriptions and completion intervals.
Create common naming conventions and abbreviations for infrastructure equipment and systems.
Implement and manage CMMS inventory module for applicable sites.
Establish procedures for sub-contractor and operations personnel weekly time input.
Maintain and annually review asset lists for accuracy.
Support operating staff with quarterly updates to preventive maintenance tasks and scheduled events.
Manage CMMS Administrator role and perform planning and scheduling duties.
Develop and maintain action tracker for CMMS completion monitoring.
Conduct monthly reviews of open preventive maintenance and client request work orders.
Maintain and analyze monthly Key Performance Indicators reporting tool against targets and benchmarks.Work Schedule: Monday to Friday, 8:00 AM to 4:30 PMDesired or preferred experience and technical skills:
Expert-level knowledge of CMMS, particularly Blue Mountain RAM (BMRAM)
Experience in GMP environments, especially in pharmaceutical or biotech industries.
Strong understanding of FDA regulations and cGMP compliance requirements.
Experience in developing and implementing maintenance strategies for complex equipment and systems.
Proven track record in process improvement and optimization within maintenance operations.
Experience in managing and coordinating with external vendors and contractors.
Familiarity with laboratory and process equipment used in pharmaceutical or biotech settings.
Background in reliability engineering or related field.
Experience in implementing or managing information security protocols for CMMS.
Ability to develop and deliver training programs for CMMS users.
Knowledge of lean manufacturing principles and their application in maintenance operations.Required Skills and Experience:
2-3 years of experience in data management and customer service environments.
SME level knowledge of facility management systems such as CMMS (Computerized Maintenance Management Systems), specifically BMRAM.
Strong overall systems experience, including solid understanding of CRM systems.
Excellent analytical skills to identify and solve moderate-scope problems independently.
Outstanding organizational skills, attention to detail, and ability to work autonomously in a regulated environment.
General understanding of building systems (life safety, lighting, electrical, plumbing) and critical utility systems (compressed gas, vacuum, HVAC).
High-level multitasking ability with proven organizational skills
Capability to manage tasks in a fast-paced GMP environment, ensuring timely completion.
Familiarity with FDA/cGXP environments and associated compliance regulations.
Proficiency in Microsoft Office Suite and aptitude for learning new software systems.
Strong written communication skills, including well-formulated emails and notifications.
Effective verbal communication with employees, contractors, and vendors
Ability to follow instructions, interpret engineering manuals/drawings, and update as needed.
Skill in managing multiple assignments across various teams while meeting deadlines.
Adaptability to work with enterprise business, building management, security, and maintenance management systems.
