Description

We are offering a contract to hire employment opportunity for a bilingual Mandarin Executive Assistant in West Covina, California. The successful candidate will be part of our retail industry team, providing high-level administrative support, coordinating company events, and managing travel arrangements for staff. This role is integral to the smooth functioning of our operations and involves interacting with various departments across the company.

Responsibilities:

• Oversee all travel arrangements for staff, including flights, accommodations, and transportation.

• Plan, organize, and execute a range of internal and external meetings and events.

• Coordinate our company's cultural promotion projects, including content creation and brand promotion.

• Perform daily administrative management duties such as purchasing office supplies, recording meeting minutes, and managing files.

• Collaborate with different departments to provide administrative support and ensure smooth company operations.

• Respond swiftly to emergencies, resolve incidents, and ensure all administrative activities proceed as planned.

• Handle project management tasks and ensure the successful execution of various company projects.

• Coordinate and manage event planning activities for both internal and external stakeholders.

• Oversee the booking of travel arrangements for staff members as part of your administrative responsibilities.

• Contribute to the promotion of our company culture through various projects and initiatives.

Requirements

• Minimum of 3 years of experience as an Executive Assistant or in a similar role.

• Bachelor's degree or higher

• Proficiency in ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System.

• Familiarity with About Time software.

• Proven ability in Calendar Management, Communication, Conference Calls, and Correspondence.

• Proficiency in Chinese language would be beneficial.

• Prior experience in Coordinating Events and Project Management.

• Ability to make Book Travel Arrangements efficiently.

• Strong organizational and multitasking abilities.

• Excellent interpersonal and communication skills.

• Proficient in using Microsoft Office Suite and other related software.

• Ability to maintain confidentiality of sensitive information.

• Demonstrated ability to work in a fast-paced environment.
