Summary Who may apply: This announcement is open to all U.S. Citizens This Position is located in: Info & Tech Dir, Assess/Anal/Assign Office, ZTF. This announcement may be used to fill similar positions in other Directorates. Responsibilities Prepares correspondence, reports, and other documents. Reviews work prepared by other clerical staff. Keeps supervisor's calendar and schedules appointments and meetings in accordance with instructions, coordinating with the supervisor as necessary. Receives visitors and phone calls. Determines nature of request and refers only those contacts needing staff attention. Routes calls and visitors based upon knowledge of programs and operations. Reads and processes incoming correspondence and material. Screens material prior to distribution for suspense dates, establishes controls, and follows up on responses which are due. Makes travel arrangements based on travel intentions, known preferences of traveler and in accordance with travel regulations. Schedules transportation; hotel/ Government reservations; deals with security issues; prepares travel orders/vouchers. Uses a variety of office automation software in support of the organization. Establishes and maintains office records of various types that may be needed or will assist in the efficient operation of the office. Ensures files have all pertinent documents and signatures. Requirements Conditions of Employment Qualifications QUALIFICATIONS REQUIREMENT: FOR ENTRY AT THE GS-06 LEVEL: One year of specialized experience equivalent in level of difficulty and responsibility to that of the next lower grade (GS-05) within the federal service, which demonstrates the ability to perform the duties of the position, is required. Specialized Experience is defined as: Providing administrative support functions to an organization, such as preparing and reviewing correspondence and reports, scheduling meetings and maintaining office calendars, purchasing office supplies and coordinating time and attendance records. FOR ENTRY AT THE GS-07 LEVEL: One year of specialized experience equivalent in level of difficulty and responsibility to that of the next lower grade (GS-06) within the federal service, which demonstrates the ability to perform the duties of the position, is required. Specialized Experience is defined as: Applying knowledge of the rules, procedures, operations, organization, and functions of an organization sufficient to perform office support duties; providing guidance on administrative procedures; applying administrative practices and procedures for managing correspondence and maintaining files; and scheduling conferences/meetings to include making necessary travel arrangements. A minimum typing proficiency of 40 WPM is required. Paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual, community, student, social) is qualifying. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates to paid employment. You will receive credit for all qualifying experience. Education Substitution of Education for Specialized Experience is generally not applicable above GS-05, but may be considered if it is directly related to the position being filled. FOR ENTRY AT THE GS-06 LEVEL: Six months of graduate education may be substituted to meet the specialized experience requirement when it is directly related to the position being filled FOR ENTRY AT THE GS-07 LEVEL: One year of graduate education may be substituted to meet the specialized experience requirement when it is directly related to the position being filled Equivalent combinations of education and experience may be used to substitute for the specialized experience requirement. You must show proof the education credentials have been deemed to be at least equivalent to that gained in a conventional U.S. education program. Qualifying education from colleges and universities in foreign countries must be evaluated in terms of equivalency to that acquired in U.S. colleges and universities. Applicants educated in whole or in part in foreign countries must submit sufficient evidence, including transcripts, to an accredited private organization for an equivalency evaluation of course work and degree. You must provide a copy of the letter containing the results of the equivalency evaluation upon request. Failure to provide such documentation when requested will result in lost consideration.
