Position Overview TheAdministrative Assistant-Medicalassists in the day-to-day clerical and administrative tasks associated with the office of the Chief Medical Officer. The Administrative Assistant-Medical also assists the Director of Clinical Services. This position is responsible for coordinated and effective communications, meetings and events, monthly reports, coordination of peer reviews, and planning and development of activities in clinical departments.

THIS POSITION OFFERS A 40-HOUR WORKWEEK, NO WEEKENDS, FULL BENEFITS PACKAGE, 12 PAID HOLIDAYS, BI-WEEKLY PAY.

Essential Tasks

  • Coordinates functions within the clinical department and among other departments within the organization, enhancing organizational efficiency and effectiveness.
  • Prepares correspondence and other documents for approval and distribution.
  • Receives and organizes requests for leave that require Chief Medical Officer approval.
  • Receives and organizes purchase orders and other documents that require Chief Medical Officer review and/or approval; including clinical audit reports.
  • Supports the Chief Medical Officer by organizing and preparing agenda items for monthly meetings; preparing minutes and other supporting materials.
  • Monitors clinical policies and procedures for review and revision.
  • Monitors clinical position descriptions for review and revision.
  • Coordinates annual performance reviews for the Chief Medical Officer.

Experience and Education High school diploma or GED. Minimum five years of administrative assistant experience. Effective organizational skills, interpersonal and communication skills. Intermediate level experience with MS Word, MS Excel, and MS PowerPoint. Must have the ability to maintain confidentiality. Must be detail oriented. Must have the ability to multi-task.

Schedule Monday to Friday 8am-5pm 8 hour shift Day shift

Physical Requirements

  • Constant standing and walking, occasional bending, stooping, lifting, reaching forward and overhead.
  • May occasionally be required to lift patients, office equipment and paper, usually not exceeding fifty pounds of direct lift.
  • Frequent computer work required.
